NTU International values the protection of personal data, and we therefore place immense importance on protecting your privacy. This Privacy Policy explains and clarifies how we treat our visitor’s personal data according to (EU) 2016/279, the General Data Protection Regulation (GDPR). This policy will apply in situations where NTU International A/S treats personal information collected from the site. By using our site, you agree that your personal information is processed in accordance with this Privacy Policy.

What is personal data?

Personal data is any information relating to an identified or identifiable natural person; an identifiable natural person is a person who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

As of 2024, personal data in regards to GDPR refers to any information that can directly or indirectly identify a living individual:

  • Basic identifiers: Name, address, email address, phone number, ID numbers, country, gender and organization name.
  • Online identifiers: IP addresses, location data, cookie identifiers, web-browser details, device IDs.
  • Sensitive data: Racial or ethnic origin, political opinions, religious beliefs, health data, biometric or genetic data.
  • Location data: GPS data or any information that can reveal a person's location.
  • Professional data: Job title, employment details, education history.

Categories of Personal data we collect

NTU International handles personal data for a variety of purposes. These include:

  • Expert Personal Information: Names, contact details (email, phone number), CVs, and employment histories of contracted experts.
  • Contractual Information: Signed contracts, payment details (bank account information, tax identification numbers), and contractual terms.
  • Project-Related Information: Work records, performance evaluations, deliverables, and timesheets.
  • Sensitive Personal Data: Depending on project requirements, you may also handle sensitive data such as nationality, passport details, or health-related information (for insurance or travel purposes).
  • Online Identifiers: Emails, project management system logs, and IP addresses during project implementation.

EU Knowledge Hub on Prevention of Radicalisation

The European Commission is committed to protecting your personal data and respecting your privacy. The EU Knowledge Hub on Prevention of Radicalisation collects and processes personal data in accordance with Regulation (EU) 2018/1725 of the European Parliament and of the Council, regarding the protection of natural persons with respect to the processing of personal data by Union institutions, bodies, offices, and agencies, and on the free movement of such data.

This privacy statement explains the purpose behind the processing of your personal data in the context of the EU Knowledge Hub on Prevention of Radicalisation (EUKH). It details how your data is collected, managed, and protected, as well as how that information is used and your rights concerning your personal data. It also provides the contact details for the Data Protection Compliance Officer.

 

NTU Expert Management Platform

The personal information you provide is data that you actively provide to us by submitting your CV for the purpose of storing this in our Expert Management Platform (EMP). We only use this contact information to send the requested information to the user or to process the relevant information in accordance with the user request. Furthermore, NTU anonymizes your personal data when it is no longer needed for the purposes for which it was collected and subsequently processed. The EMP requires users to provide NTU with personal information such as their name, postal address, e-mail address, etc. The e-mail address you provide can be used to send you information and updates about current or future job opportunities etc. You can cancel this by sending us an e-mail. In addition, users can use the right to be forgotten by contacting NTU, after which your data will be deleted from our systems. 

Regarding the NTU website, we register site visitors and user behavior. This information is used to further develop website features and content. For this, we use various analytical tools with an IP anonymization feature on our website. 

Purpose with processing personal data

The information we collect from you can be used for any of the following purposes:

  • Project implementation and registration of experts
  • We use our Expert Management Platform to identify candidates suitable for current job openings
  • Constant improvement and optimization of the NTU website
  • We are constantly striving to improve the supply of the site based on your information and views.
  • For the EU Knowledge Hub, NTU International on behalf of the DG Migration and Home Affairs collects and processes your personal data to register your participation to events and, if you request accommodation and travel, communicate selected data to the hotel, airline or train company to make reservations on your behalf

Protection and safeguarding of personal data

All personal data in electronic format (emails, documents, databases, etc.) are stored securely on the servers managed by NTU International and its authorized partners. All processing operations adhere to the EU’s established security protocols, including Commission Decision (EU, Euratom) 2017/46 on the security of communication and information systems. 

Contractors involved in processing your personal data on behalf of NTU are bound by specific contractual clauses and confidentiality obligations as per the General Data Protection Regulation (GDPR - Regulation (EU) 2016/679).

Technical and organizational measures are in place to protect your data, including measures addressing online security, risk of data loss, data alteration, or unauthorized access, while considering the risks involved and the nature of the data being processed.

Recipients of the personal data

We may disclose your personal information to other relevant external partners (i.e. consortium partners, clients) insofar that it is reasonably necessary for the purposes stated in this privacy policy. We do not sell, trade or otherwise transfer your personal information to third parties. Exceptions are trusted third parties that help us to run the site, as long as these parties agree to keep the information confidential and not use it for other purposes that not agreed upon. We may also disclose your personal information where we find it necessary to comply with statutory requirements, maintain the site's policies or protect our or others' rights, property, or security.

We have agreements with third party service providers to help us get a better view of the site visitors. These service providers are not allowed to use the information they collect on our behalf for anything other than helping us operate and improve our business. 
If your personal data will be disclosed with any other recipients than stated in this Privacy Policy, we will provide you with information about that disclosure at the time collecting your personal data and obtaining your consent.

How long we keep your personal information

NTU International will only save your personal data for as long as it’s relevant to achieve the purpose it was originally collected for. More specific information about retention time for processing of personal data will be provided to you when we collect personal and obtain your consent for specific purposes. When you submit such data to NTU, you will be informed about for how long the data will be stored.

As for the EU Knowledge Hub, all personal data related to this (registration information) will be deleted at the end of the EU Knowledge Hub framework period.

Legal grounds for processing personal data

You are entitled to request a report on what personal information we have about you by requesting a registry extract. This can be made free of charge once a year. You also have the right to request that incorrect information about you shall be corrected, as well as the ability to request removal of your personal information. You have the right to withdraw your consent to processing of personal data.

For the EU Knowledge Hub, processing of personal data  is necessary to process your participation and, if applicable, make the reservations related to accommodation and travel for the participant. These provisions are in particular aligned with Article 11 of the Treaty on European Union and Article 15 of the Treaty on the Functioning of the European Union. Therefore, this processing is lawful under Article 5(1)(a) of Regulation (EU) 2018/1725 (processing necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the Union institution or body).

Your explicit consent is required for processing your data, and for communicating it with the relevant parties that will process your participation, accommodation and travel. Consent is also required for sending you relevant communications. By opting in, you provide your explicit consent under Article 5(1)(d) of Regulation (EU) 2018/1725 for these specific purposes. Consent can be provided via a clear affirmative act by ticking the relevant box(es) on the online registration form.

Access to your personal data is limited to authorized personnel within NTU, the European Commission and relevant members of the Commission, following the "need-to-know" principle. Such personnel are bound by statutory confidentiality obligations.
Where necessary, your information may be shared with service providers responsible for managing the EU Knowledge Hub.

Personal rights and how to exercise them

As a data subject, you have specific rights under Chapter III (Articles 14-25) of Regulation (EU) 2018/1725, including:

  • Right of access: To know what personal data is being processed and to request access to it.
  • Right to rectification: To correct any inaccuracies or incomplete data.
  • Right to erasure: To request deletion of your personal data.
  • Right to restriction: To restrict processing under certain circumstances.
  • Right to object: To object to processing of your data on grounds relating to your particular situation.
  • Right to data portability: To receive your data in a structured, commonly used, and machine-readable format.

Transfer to third Country

Personal data that by consent has been shared with NTU International can be stored, processed and transferred between all the countries in which we operate to use the information in accordance with the Privacy Policy. However, NTU International will not transfer the personal data you provide us to countries outside the European Economic Area (EEA) without explicitly informing you about that transfer. All of our applied IT platforms are storing content based on servers exclusively located within the EU.

We are not responsible for the privacy policies or practices of such web sites, which you choose to access from our site.
