NTU has been supporting the International Cooperation Projects of the European Union Aviation Safety Agency (EASA) since 2016. We were awarded the EASA FWC LOT 2 "Event management and logistics support to EASA international cooperation activities" in 2020. Each edition, the aim of this Lot is to provide logistical and event management expertise to carry out the international cooperation contracts. The overarching objective, on the other hand, is to promote the enhancement of aviation safety, environmental standards, and economic partnerships.
Recently, we have been awarded EASA LOT 2 again until 2028. The goal centres around facilitation of global collaboration and promotion of the EASA´s role on a global level. Together with the Agency, we strive for strengthening the partnerships and fostering the engagement with stakeholders across different cultural and geographic regions. Thanks to this cooperation, we can work towards increasing EASA’s visibility and influence in the global aviation sector, resulting in its stronger collaboration with the partner countries.
Implementation
NTU engages in organising events – high-level conferences, symposia, workshops, seminars and many more, from 15 to 160 participants – for EASA FWC Lot 2 worldwide through travel arrangements, hotel and venue booking, participant management, equipment setup, and reimbursement management. What is more, we create and manage specific websites and online platforms for virtual meetings and webinars if necessary. Our stakeholder communication is focused on coordination of international aviation authorities and industry professionals to align the event goals.
We prioritise eco-friendly suppliers, as well as sustainable practices in on-site logistics and plastic-free catering facilitation. What’s more, we employ the rules of CO2 tracking, offsetting CO2 emissions using MyClimate to prepare reports of CO2 amount compared with travelled distance, presented in line with the methodology preferred by EASA. The risk management and quality assurance is carried out, using NTU’s internal Quality Management System (QMS) to ensure that all outputs meet EASA’s standards. We make sure that, for each event, a detailed documentation is provided, including financial reports and feedback assessments.
All these tasks and scopes are defined under our “One Step Ahead” strategy, within which we adapt our services to ensure the smooth delivery of assignments despite the anticipated risks.
Impact
NTU’s previous experience in event & travel management and logistics involves working in 170+ countries, with 78 activities undertaken within the previous EASA LOT 2 contract. We have contributed to the realisation of 10 activities in South Asia, 13 in the Southeast, 40 in Africa, 4 in Latin America, and 11 in the EU Member States. Thanks to that, our Local Partner Network includes over 2000 organisations. The main goals achieved in LOT 2 are:

Strengthening the collaboration between EASA and international aviation stakeholders working towards enhancing global aviation safety standards;

Facilitating of Knowledge Sharing and Capacity Building on aviation safety and sustainability through workshops, seminars, and training sessions organisation;

Delivering high-quality logistical support and event management tailored to the needs of EASA projects;

Implementing environmentally friendly practices in event logistics, including CO2 emissions tracking and eco-conscious supplier selection.
